What is an HR system?

An HR system gives you a complete overview of your employees, so you can easily develop and follow up on them in an efficient way, from signing an employment contract to terminating the employment relationship. Today, HR solutions are becoming increasingly complex, with business systems merging and overlapping to a greater extent than ever before. Data technology and mobile technology are therefore important in today's HR systems.

What should an HR system contain?

Regardless of whether your company has an HR or personnel solution or not, we at 4human have put together a list of the features we think are most important for your HR system to have:
  • Onboarding, Preboarding, Offboarding and Reboarding
  • Employment agreements/contracts
  • Sick leave follow-up
  • Holiday and absence registration
  • Appraisal templates - Performance appraisals, development appraisals, probationary appraisals
  • Role management
  • Reports and analysis
  • Digital handbooks (Employee handbook, HSE handbook and Manager handbook)
  • Integrations with all payroll systems in the market and any time and plan systems

We have a long history in the industry, and have based the list on feedback from our customers about which functions they believe are business-critical in their systems. All the features listed above are the foundation for working strategically with your company's HR work. In our experience, companies need to have control of their core HR data before they can work with Strategic HR.

What does HR Core mean?

HR Core is the basic module that must be in place in your HR system. This involves:

  • Personnel register
  • Personnel folder
  • Job descriptions
  • Organizational structure
  • HR master
  • Payroll master
  • Role management (IAM)
  • Process support
  • Privacy policy

Without this information, you will not be able to control access to who sees what in the organization. Nor will you be able to pass on data to other systems without this control. You get an overview of the core functionality in 4human's Dashboard, which provides a simple overview for both employee and manager. Here, the employee will be able to see their information, tasks and courses to be performed and various publications that are available. This is in addition to a news feed where either the manager or HR can post information to the employee. The manager has a more comprehensive dashboard where they can see their own tasks, in addition to making it easier to manage and follow up their employees.

What is strategic HR?

Is your business focused on your goals and strategies? Strategic HR is about developing and improving the people in the organization in line with these. The people in your business are the most valuable asset you have, because they are the ones who create value. To do a good job, it's important that the employees have the best conditions, which will then help to create a major gain for the business. This is what strategic HR is all about. It is important to have good tools to support an HR strategy, and through our modules, 4human contributes to developing and giving you a full overview of your employees' knowledge and skills to achieve your company's goals.

How to choose an HR system?

An HR system should support a manager and their employees. Below, we have summarized what we at 4human believe is important to consider when acquiring an HR system:

  • Start by creating a progress plan and find out what your needs are - what should an HR system cover?
  •  What do you want to achieve and what challenges should the system solve? For example, do you want a better overview of employee absence, competence or to create a good onboarding process?
  • Do you need integration with your payroll or time management system, for example?
  • Set up a thorough requirements specification with features that are "need to have" and features that are "nice to have"
  • Get in touch with some relevant suppliers and get quotes
  • Consider various elements such as price, delivery, implementation and integrations. Is it relevant for you to hear about other customers' experiences with the system?
  • Is the culture, trust, chemistry, follow-up and support of the supplier important? Will the supplier help you achieve your goals?

After selecting a supplier, what remains is a well-drafted contract that reflects the needs to be covered, which will ensure a good future collaboration.

Who needs an HR system?

There is no requirement for companies to have an HR system today, but on the other hand, there are requirements for how you store information about your employees in accordance with the privacy requirements of the GDPR. This can be done more easily by using an HR system. 4human meets all the requirements of the GDPR. We are also the only HRM company in Norway and the Nordic region that is certified to all these standards:

  • ISO 9001 certification, standard for quality
  • ISO 27001 certification, standard for information security
  • ISO 27018 certification, standard for personal data in cloud services
  • ISO 27701 certification, standard for handling personal data (GDPR)
  • It's a peace of mind for our customers.
