Document management

Document management focuses on editing, approving, storing and organizing documents. The goal is updated, correct and accessible documentation for the entire organization.

Without a formal document management system in place, documentation is often created and stored in an uncontrolled and decentralized way with scattered file shares on servers and individual hard drives. This is where more problems arise. It makes it difficult for employees to find, share and collaborate effectively on content. It also makes it difficult for the organization to use valuable company information and data in the documents. A lack of document management can also lead to different employees having different versions of documents. It's easy to see how this can lead to both unnecessary errors and costs for the business.

Quality assure your documents

Most businesses today need to structure this work beyond traditional folder storage. Key documents often require both consultation rounds and approval in one or more stages. It's also important to have the option to publish to different document areas in any format. This usually means the original format or PDF. This helps to ensure the quality of the company's documentation at all stages.

Good tool for document management

Document management in QM365 ensures good quality of the governing documents in the company, and meets the requirements of ISO 9001. A separate area is set aside for preparing and quality-assuring governing documents. This includes, among other things, consultation rounds and approval of the finished documents. Good history, change logs and versions are also essential so that all changes are traceable. The management system also handles documents that do not require approval. This includes, for example, plans, audits, minutes and checklists.

Tasks from the document workspace are automatically sent to the people set up on the various document tasks.

Correct and updated documentation

With the document management tool, you can create a new document from scratch or from a desired template. Once the document is ready, you can send it out for consultation and comments. When the consultation period is over, the document is revised based on the input and can then be sent for approval in one to three steps depending on how your business works. When the document is published, it is automatically made available on all processes the document is tagged to. When the document is next revised, the document will also automatically be updated on all placements for all employees.
