Espira Gruppen's goal was to achieve major gains in efficiency and quality, in addition to gaining a tool for working with HR-related tasks. The Espira Group chooses 4human HRM as a master in its multi-cloud architecture

As IT Director of Espira Gruppen, Kjetil Haugland Johansen is facing major challenges in leading the childcare industry through rapid digital transformation.

Espira's challenge was that they have been a founding company, with different ownership structures and have acquired kindergartens all over the country. As a result, Espira has not focused on infrastructure and heavy resource-intensive work routines. They have two people who make changes to staff, everything from changing phone numbers, reimbursements and address changes in Excel sheets that are sent back and forth via email. When there are around 1,000 changes that need to be made to these documents every single month, you can calculate how many working hours are wasted. This privacy challenge must be taken seriously.

The core processes in Espira

Espira's core processes are defined in staff (resources) and children (customers). These core processes need to be managed with a system that can be the master. Where should things be kept up to date? Which system should own this data that can be shared with the others? What Espira then looked for was a cloud-based system that could be the master for the staff, through: personal data, cost center, roles, responsibilities, salaries, agreements, hours, absence, compensation, accesses and more.

They also needed the system to be able to handle the children, through: personal data, guardians, seat size, location, reimbursement conditions, siblings, attendance and special needs.

The Espira Group, led by Kjetil Haugland Johansen, ultimately chose 4human as a supplier of HRM systems and masters towards their core processes. Espira had 14 to 15 players who were invited, but they experienced that if they were to get the processes they needed, this would cost a lot and they had budgets to deal with in this process.

Kjetil also says that 4human have been innovative and made a number of adjustments that put them well on their way to achieving their goal. They began with the rollout of the HRM system in September 2019.

What will Espira use? 4human as a master's degree?

Kjetil also says that it is very important to him that 4human HRM is the master for all data related to people, so they can safeguard privacy at the individual level.

It is also important that 4human is the master for the organizational structure of Espira Group. This means that if a person changes role and title, an organizational change is updated in the cloud and includes all data and rights.

4human HRM will also send salary information to Huldt&Lillevik, thus 4human also master for salary data.
